1. Purpose
This Acceptable Use Policy outlines the expectations and responsibilities for the appropriate use of Co.Design 4 All Pty Ltd’s (Co.Design4All) digital systems, tools, and data. The policy is designed to protect individuals, safeguard data integrity and confidentiality, and ensure compliance with relevant laws and ethical standards.
2. Scope
This policy applies to:
- Employees (full-time, part-time, casual)
- Contractors and consultants
- Volunteers and interns
- Project partners and collaborators
- Any person granted access to Co.Design4All’s systems, platforms, or data
It covers the use of:
- Computers, mobile devices, and other hardware
- Software, cloud services, and collaboration tools
- Email, messaging, video conferencing, and internet access
- Data and information, including personal, sensitive, and confidential data
3. Acceptable Use
You must:
- Use systems and data only for work-related or authorised purposes
- Protect sensitive or personal information from unauthorised access or disclosure
- Use strong passwords and safeguard login credentials
- Comply with data protection laws (e.g., Privacy Act 1988) and Co.Design4All’s privacy and confidentiality requirements
- Be respectful and inclusive in all communication (email, chat, meetings)
- Use organisation-provided systems (e.g., Google Workspace, Miro, Notion, etc.) in line with their intended purpose
4. Unacceptable Use
You must not:
- Use Co.Design4All systems for personal profit, gambling, or illegal activities
- Access, distribute, or store offensive, discriminatory, abusive, or pornographic content
- Share confidential or personal data with unauthorised parties
- Use personal devices to store or process sensitive data unless specifically authorised and secured
- Install unauthorised software or circumvent security controls
- Use Co.Design4All branding or email to represent personal views or non-sanctioned communications
- Intentionally interfere with, damage, or attempt to bypass system protections (e.g., antivirus, firewalls)
5. Data and Privacy Obligations
All users are required to:
- Follow Co.Design4All’s Data Protection and Confidentiality Policies
- Report any data breaches, suspicious activity, or unauthorised access immediately
- Avoid transferring sensitive data through insecure means (e.g., unencrypted email)
- Use approved tools for storing and sharing personal or project data
6. Intellectual Property and Ownership
Any content, reports, tools, or documentation created using Co.Design4All resources or as part of a project engagement remains the intellectual property of Co.Design4All or its clients, as specified in contractual arrangements.
7. Monitoring and Enforcement
Co.Design4All reserves the right to monitor the use of its systems for security, operational, or compliance purposes. Breaches of this policy may result in:
- Revocation of access
- Disciplinary action
- Termination of contract or engagement
- Legal action, where applicable
8. Review and Acknowledgement
This policy is reviewed annually or when significant changes occur. All users must read, understand, and acknowledge their commitment to comply with this Acceptable Use Policy.
